The Office Administrator for Trust Company of the South will serve as a highly intuitive and dependable partner with the ability to anticipate and proactively address needs with minimal direction. This role will be accountable for complex administrative tasks using sound judgment and will deal independently with a variety of routine and non-routine problems and situations.

Job Responsibilities – Essential Functions

Manage professional scheduling, including agenda, mail, email, calls, travel arrangements, client management, and other company logistics

Coordinate complex scheduling and extensive calendar management, as well as management of content flow and information to clients and others within the organization

Assist with creating, designing, editing, and ordering presentation materials for clients, prospects, and business development events

Perform general office duties, including maintaining office supply inventory and ensuring operation of office equipment

Prepare for, coordinate, and lead bi-monthly Raleigh office staff meetings, including creating meeting agendas and taking notes/minutes as requested

Plan, coordinate and host meetings and events, including site selection, catering and administrative tasks. Provide suggestions to enhance event success

Greet visitors and clients; utilize a concierge approach when dealing with clients, vendors and team members

Prepare and submit monthly expense reports and credit card statements

Serve as the point of contact for all vendors and for property management company

Manage online file organization and document management, including setting up documents for e-signature and maintaining the CRM

Find and implement automation and process improvement; create an effective workflow

Assist with onboarding of new employees by creating and scheduling sessions with each department

Maintain professionalism and strict confidentiality with all materials, and exercise discretion at all times
