Job Description:
The Marketing Operations Coordinator will serve as the executive gatekeeper and right-hand person, taking initiative when needed so the CEO can spend as much time as possible in the strategic part of the business versus the tactical day to day tasks. Serves as right hand support with both business & personal related tasks for the CEO and oversee and support with project organization and completion with both marketing and internal projects

Responsibilities:


Travel Booking for CEO and other team members as needed



Random personal tasks needed for the CEO such as calling AT&T or setting up a personal appointments



Communicate to team on behalf of CEO and vice versa



Support with travel booking & coordination as needed



Oversee the execution and completion of all our company marketing goals and projects



Document critical processes in our marketing department by keeping our marketing playbook up to date so that it can be repeated by anyone and all team members are clear on procedure and expectations



Create and manage Asana tasks for all major marketing projects as well as oversee Asana projects and tasks are set up efficiently for recurring projects



Oversee and support with any internal projects such as updating / overhauling our online program content

Manage and oversee the following team members:


Marketing Tech VA



Marketing Assistant



Strategically overseeing and managing internal marketing projects



Overseeing, delegating and coordinating approval of anything related to:



Internal sales funnels and marketing projects



Live Launches & Promotions



Website updates / marketing updates

Results:


CEO has a consistent gatekeeper and right hand support so she can stay in a strategic vs. tactical mindset



All marketing projects are organized with their various components and team members involved in each one



All project deadlines are met on time without any follow up needed from the CEO



Any approval or collaboration needed for each project and initiative is handled in a clear and effective way



CEO has support with all tactical related tasks such as travel booking or coordinating certain details with other team members



CEO’s needs are anticipated and operations coordinator is constantly looking for ways to lighten the noise in the CEO’s life



The right questions are asked to get to the end result or a project or initiative vs. wait for every detail to be laid out for them



Does not have to be asked twice to keep something organized and clear for other team members. Clearly articulates the why and the context behind projects so team members are always on the same page and clear.

Requirements:


HIGHLY organized and obsessed with details / organization



Ability to work extremely fast and efficient to keep up with the busy CEO



Quick learner, Quick on your feet and clear ability to find the answer to something if you don’t know it



Doesn’t need hand holding or guidance and can anticipate what needs to be done based on a bigger vision or project deadline



Familiarity with the online business space / digital marketing and can confidently task and manage projects related to this. For example, you clearly understand all the components that go into completing a marketing funnel



Experience working remotely and ideally is fully competent with the following softwares:



G-suite



Asana



Systems and process oriented



Able to take initiative and see problems before they happen

Compensation & Benefits:


Full time 40 hrs / week



$250/mo healthcare stipend



7 Paid Federal Holidays



5 Wellness Days per quarter following 90 days of employment



$45k-$50k annual starting salary
