Job Description

Candlewick Press seeks an editorial assistant to provide variable levels of administrative and editorial support to the Director of Editorial Operations/Editorial Director, one part-time and one full-time off-site Executive Editor, and to handle some general departmental tasks.

Responsibilities include but are not limited to the following:


  • Digitally log and track manuscript submissions
  • Read and prepare reader’s reports on manuscripts
  • Properly format manuscripts for electronic transmittal into copyediting and/or graphic production
  • Attend book development meetings between editor and designer and/or other departments as requested
  • Anticipate deadlines, deliver reminders
  • Fact-check book content as required
  • Manage and properly mark author changes at various stages of a book’s development, whether hard copy or digital
  • Draft jacket copy for a variety of genres (20-30 titles/season) and provide back-up
  • Pull review quotes and award notices from marketing archives
  • Research, negotiate, and clear permissions
  • Provide assistance with the paperback picture book publishing program


  • Serve as secondary contact for authors and their representatives, designers, other departments
  • Fill out appropriate request forms
  • Enter and update editorial data in company’s contract and title management database
  • Sort incoming mail; prepare outgoing mail; copy and scan book materials
  • Take minutes at assorted meetings as needed
  • Purge book files; file and archive correspondence
  • Draft seasonal Title Information Sheets


  • Order free and review copies for authors and agents
  • Check weekly reprint list for any picture book and paperback picture book titles that may need permissions renewals or other updates
  • Notify original hardcover editors of reprints, coordinate any necessary updates or changes with reprint manager
  • Mail reprint copies to authors and agents

Required Skills and Experience:
Candidates must possess a strong interest in children’s trade publishing; a motivation to learn; flexibility; a sense of humor; exceptional English language and editorial skills (proofreading, spelling, grammar); and be extremely organized, attentive to details, and able to multi-task and prioritize. Proficiency with Adobe Acrobat, Excel, Word, Outlook, PowerPoint and other common computer programs is also necessary. Fluency in a second language is a bonus, but not a requirement.

While we are mainly working remotely due to COVID, this role will eventually be based in our Somerville, MA office.
